How to work with draft dunning reminders?

New dunning reminders have the status Draft. You can check draft dunning reminders for correctness and edit them as necessary.

Be aware that draft dunning reminders represent the outstanding payments at the time of their creation. In addition, there is no means to have the included information updated automatically once the draft dunning is produced. A dunning reminder generated some days ago, may, consequently, show relevant data (statement date, payment due date, involved overdue invoices, applicable fees, etc.) that is no longer up-to-date or valid.

This is why we recommend not to leave dunning reminders in the status Draft.

  1. Generate the dunning reminders as required using the Statement Run functionality or individually.

  2. Review the produced draft dunning reminders immediately.

  3. If necessary, modify information like basic data, addresses, distribution instructions, or texts.

    Note

    If you find incorrect statement details, like a missing overdue invoice, a wrong dunning fee or an invoice involved by mistake:

    1. Delete the generated dunning reminders.
    2. Correct the dunning configuration or the source data as necessary.
    3. Recreate the dunning reminders and check the result.
  4. If everything is correct, finalize the dunning reminders.

    This sets the dunning reminders to Closed, generates the PDF documents to be sent out, and adds the defined dunning fees to the account balance and the open invoice amount. As a whole, this makes the dunning operation legally effective.
